User roles: User, Admin, Billing Admin

Definition and Control of Management and User Roles

Management roles control who manages the Workspace – not who is allowed to review contracts or use the Legal Agent. These productive permissions are independent of management roles and are assigned separately.

What a role changes – and what it does not change

  • A role change affects only the management groups. A person's productive permissions (e.g., Review, Playbooks, Legal Agent) remain unchanged.

  • The Admin role grants User management, but not automatically full document viewing rights – that is a separate permission.

How-to: Make someone an Admin

  1. Identify person – the person must already be a member of the Workspace. If not, invite them first (inviting is free and unlimited).

  2. Assign "Admin" – in User management, set the person to Admin.

  3. Result – the person can now manage Users and Teams. Only the management group is added; all previous productive permissions are retained.

4. If more is needed – if the person is also to manage billing, they must also be granted the permission for “Packages & Billing”.

Important Rules

  • The last remaining Admin cannot lose User management rights or be demoted – this ensures the Workspace always remains manageable.

  • For fine-grained changes beyond the three roles, individual permissions can be specifically granted or revoked.

Distinction

  • Roles regulate who manages the Workspace (User / Admin / Billing Admin).

  • Permissions regulate which individual functions a person is allowed to use.

  • Seats enable – where they apply – productive work.
