Turn on/off track changes in the online Editor

Enable/disable change tracking when reviewing a .docx document in the Legartis web platform

Updated over a week ago

Reviewing and editing .docx documents in our Legartis web platform offers flexible options for tracking changes. The Track Changes feature is a key tool that can be enabled or disabled depending on the requirements of the editing process and the desired level of transparency.

Position of the function in the user interface

To control this functionality, the corresponding controls are located in two easily accessible places within the Legartis web platform:

  1. In the top toolbar: The option is prominently placed in the Collaboration area and is labelled β€˜Track Changes’.

  2. In the lower toolbar: Quick access is also provided via a corresponding icon in the left-hand corner of the lower toolbar.

Detailed options for Track Changes

The Legartis web platform offers four specific settings for Track Changes to precisely define the scope of the function – whether it's just for yourself or for the entire team:

Setting

Scope

Description

ON for me

Affects only you

All changes you make will be tracked and marked. Other users who edit the document without tracking enabled will not be affected.

OFF for me

Affects only you

The changes you make are not tracked or marked. This is useful if you want to make internal corrections without recording them.

ON for me and everyone

Affects you and all other users of your Legartis tool

This setting enforces change tracking for all users who open and edit the document in Legartis. It ensures maximum transparency and complete documentation of all changes within the team.

OFF for me and everyone

Affects you and all other users of your Legartis tool

Track Changes is globally disabled for all users who edit the document in Legartis. This is typically only used in final review phases or after an internal alignment.

Persistence of settings and notifications

It is important to note that once you have selected a Track Changes setting, it will remain persistent. This means that it will remain active until you actively switch to another option.

To prevent accidental editing without the desired tracking, the tool offers a built-in safety feature: as soon as you open a document, a notification informs you whether the track changes functionality is currently turned on or off. This ensures that the editing status is transparent at all times before you start working.
