1. What is the Legartis Word Add-in?
The Legartis Contract Review Add-in for Microsoft Word allows you to instantly find and edit critical content in your contracts with the help of AI. + After installing the Add-in (or ‘app’), you can open any contract in Word and the Legartis app will automatically review it. After a short analysis, the app will show you all the legal concepts (clauses) that it found in your specific document. Based on the company-specific rules that are set in the Contract Playbook, Legartis also tells you whether the found clauses are (potentially) critical for your company. The app subsequently guides you through the document with an automated checklist and gives appropriate instructions when the document needs to be modified.
When the Legartis Add-in is used, it
can read and make changes to uploaded documents.
can send contract and usage data over the internet.
3. Which data is transferred to Legartis?
When the Legartis Add-in is enabled, it will collect the content of the document that you have open while using the Add-in. In addition, it will register the username and the time of activity. All data is transferred as encrypted data and stored on our servers in Switzerland.
4. How to deploy and download the Add-in via Centralized Deployment (Office 365 or SharePoint)
Step 1: Deployment
If your organisation uses Office 365, the add-in can be installed in the Microsoft 365 admin center. This centralized deployment makes it possible for individual users in your organisation to easily download the add-in directly in Word. As a first step, Legartis will provide you with a xml-file that can be installed in the admin center following the steps below:
Open the ‘Integrated Apps’ Menu under ‘Settings’.
Click on ‘Deploy Add-In’.
Choose the option “Office Add-In” and provide the following link: https://word.legartis.ai/assets/Legartis-Document-Checker.xml
You can now release the Add-in for the desired users, who can then download the Legartis Add-In following the instructions in Step 2 below.
Further information about centralized deployment for Microsoft Office Add-ins can be found here: https://learn.microsoft.com/en-us/microsoft-365/admin/manage/manage-deployment-of-add-ins?view=o365-worldwide
Step 2: Downloading the Add-in (Word desktop version)
Once the add-in has been successfully deployed, users can download it following the steps below in the desktop version of Microsoft Word: Go to the add-in menu:
Newer versions:: Open tab ‘Home’ and click on ‘Add-ins’ and then 'More Add-ins'
On older versions: Open tab ‘Insert’ and click on ‘My Add-ins’
5. How to install the Legartis Add-in locally to a Windows system (Manual Side-loading setup)
If your organization does not work with Office 365, the Legartis Add-In can be installed on your computers locally via a process called sideloading. To sideload the app you need to download the XML file here: https://word.legartis.ai/assets/Legartis-Document-Checker.xml
Step 1: Share a folder
Create a folder in the target system (e.g. C:\Legartis\WordAddIn) that you want to use as a shared folder and copy the XML file to that location Right-click on the folder and select ‘Properties’. Open the tab ‘Sharing’ and click on the ‘Share’ button
In the dialog window, add yourself and other users that should have access to the add-in. Ensure all users have at least Read/Write permission. Finish by clicking on the ‘Share’ button. Once the folder is shared, make a note of the shared folder’s full share path (should be something similar to \DESKTOP-XXXX\WordAddIn)
Step 2: Configure the trust with a Registry script
In a text editor, create a file titled TrustNetworkShareCatalog.reg with the following content:
Windows Registry Editor Version 5.00
[HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\WEF\TrustedCatalogs\
catalogFSDefault]
"Id"="catalogFSDefault"
"Url"="\\\\DESKTOP-XXXX\\WordAddIn"
"Flags"=dword:00000001
Insert the full network path in the highlighted area. Ensure that all \ characters in the URL are doubled. Execute the TrustNetworkShareCatalog.reg file, e.g. by double-clicking it. (Please note that this may require admin privileges)
Step 3: Check if the shared folder appears as a trusted catalog
Open a new document in Microsoft Word. Click on the ‘File’ tab and choose ‘Options’.
Open the ‘Trust Center’, click on ‘Trust Center Settings’, then click on ‘Trusted Add-In Catalogs’.
Ensure the box ‘Show in Menu ’ is checked, then click on ‘OK’.
Close Microsoft Word and any other Office Applications.
Step 4: Side-load the Add-in
Start Microsoft Word, then go to the add-in menu:
On Windows: Home > Add-ins > More Add-ins > Shared Folder > Add the Legartis Contract Checker.
On Macbook: Insert > My Add-ins > Shared Folder > Add the Legartis Contract Checker.
After the installation is completed, the Legartis Add-in will appear in the tab ‘Home’.
Further information about installing Microsoft Office add-ins via sideloading can be found here.
6. URLs for Whitelisting
In case your organization has firewalls in place, we recommend whitelisting the following URLs (for all browsers):
Frontend UI:
Backend services:
Other services:
Websocket:
wss://workflow.api.legartis.ai/ws/*
Please note that any subpaths (behind /*) need to be accessible as well If your company uses IP based firewall rules, please contact us for the necessary IPs via [email protected].
7. How to uninstall a centrally deployed Add-in
The Microsoft admin in your organization can uninstall the Legartis Add-in in the Microsoft 365 admin center by following the steps below: Open the Add-ins menu > Click on the Legartis add-in > Click on ‘Remove Add-in’
8. How to uninstall a side-loaded Add-in
Close all open office applications (including Word) Run the following PowerShell command:
Remove-Item -Path HKCU:\Software\Microsoft\Office\16.0\WEF\TrustedCatalogs\
catalogFSDefault
Start Word and verify that Contract Checker Add-in isn’t listing anywhere.
9. Troubleshooting
If the Insert > My Add-ins menu in Microsoft Word is disabled, this is caused by your internal security settings preventing users from accessing the My Add-Ins menu. To install the Legartis Add-in, users will require access to this menu, specifically to the Admin managed tab (after centralized deployment) or the Shared Folder tab (after sideloading). it is not necessary for users to have access to the public Add-In store. → If you have centrally deployed the add-in, yet the Legartis add-in does not appear in the ‘admin managed’ or ‘shared folder’ tab, please verify if you can access it by clicking on the menu “insert” and then the arrow next to “my add-ins” (see picture). If the add-in also does not appear in this menu, please verify the most common problems listed on this page.
After sideloading the add-in, it can occur that the Legartis Logo does not appear automatically in the Home tab in Microsoft Word. In this case, the add-in can only be accessed by downloading it via the My Add-ins menu repeatedly. This problem is often resolved by adding the shared folder as a trusted folder via the Trust Center. Further instructions can be found here.
